Why Project PDF?

Understanding the need for Asana PDF exports

Why doesn't Asana have native PDF export?
Asana has never built native PDF export functionality despite years of user requests on their forum. The built-in print option produces poorly formatted output with navigation elements, and there's no way to export dashboards, reports, or time tracking data as PDFs. Project PDF was created to fill this gap with professional, branded PDF exports.
Why do I need PDF exports from Asana?
PDF exports are essential for sharing project status with clients, stakeholders, and executives who don't have Asana access. They're also valuable for archiving project milestones, creating client invoices from time tracking data, and producing professional deliverables that can be emailed or printed.
How is Project PDF different from print-to-PDF?
Browser print-to-PDF captures the entire Asana interface including the sidebar, navigation, and menus—often producing 1000+ pages of mostly blank content. Project PDF generates clean, formatted documents with only the relevant project data, proper page breaks, and professional styling.
How does Project PDF compare to Asana2Go?
Asana2Go is a multi-purpose export tool that outputs CSV, JSON, and basic print formatting. Project PDF focuses specifically on beautiful, branded PDF output optimized for client-facing deliverables. We offer custom templates, company branding, time tracking reports, and professional designs that Asana2Go doesn't provide.
Why choose Project PDF over Coupler.io or Skyvia?
Coupler.io and Skyvia are data integration platforms that export raw Asana data to spreadsheets and databases. Project PDF creates formatted, presentation-ready documents. If you need data for analysis, use those tools. If you need polished reports for clients, use Project PDF.

What you can do with Project PDF

What types of PDFs can I create?
Project PDF offers two main export types: Task List exports (all tasks from a project with names, descriptions, due dates, assignees, custom fields, and subtasks) and Time Reports (detailed time tracking breakdowns by task, user, or date—requires Asana Business or Enterprise for time data).
Can I customize which fields appear in the PDF?
Yes! You can choose which task fields to include (description, due date, assignee, custom fields), hide completed tasks, filter by section, sort tasks differently, and control the level of detail. Pro and Team plans offer additional customization options.
Does Project PDF support custom branding?
Pro and Team plans include full branding customization: upload your company logo, set primary brand colors, customize headers and footers, and choose from multiple professional template designs. Your PDFs will look like they came from your company, not a third-party tool.
Can I export multiple projects at once?
Currently, you export one project at a time. Bulk export (exporting multiple projects in one action) is on our roadmap for the Team plan. You can, however, generate as many individual exports as your plan allows.
Are subtasks included in the export?
Yes, subtasks are included in task list exports. They're displayed hierarchically under their parent tasks, maintaining the same structure you see in Asana.
Can I export Asana timelines or Gantt views?
Currently, Project PDF exports task list data rather than visual timeline/Gantt representations. Timeline PDF export is a feature we're exploring for future releases.

Time Tracking & Reports

Exporting time data from Asana

How do time tracking reports work?
Time reports pull time entry data from Asana's built-in time tracking feature and format it into professional reports. You can view time by task, by team member, or by date range. This is perfect for client invoicing, project costing, and team utilization analysis.
Why do time reports require Asana Business or Enterprise?
Asana's time tracking feature is only available on Business and Enterprise plans. Since we pull time data directly from Asana's API, you need a plan that includes time tracking for these reports to work.
Can I separate billable and non-billable hours?
If you've tagged time entries as billable/non-billable in Asana, that data carries through to our reports. You can generate reports showing only billable time for client invoicing purposes.

Understanding our pricing

How much does Project PDF cost?
We offer three plans: Free ($0/month with 3 PDFs, 1 template, 7-day retention), Pro ($9/month with 10 PDFs, 5 templates, custom branding, 90-day retention), and Team ($29/month with unlimited PDFs, unlimited templates, 1-year retention). All plans include both task list and time report exports.
What counts as a PDF export?
Each time you generate and download a new PDF counts as one export. Re-downloading an existing PDF that's still within your retention period doesn't count as a new export.
What happens when I hit my export limit?
Your limit resets at the start of each calendar month. If you need more exports before then, you can upgrade to a higher plan. Existing PDFs remain accessible even if you're at your limit.
Can I try Pro features before subscribing?
The Free plan lets you experience core functionality. If you want to try custom branding before committing, contact our support team and we can arrange a trial.
Is there a discount for annual billing?
Annual billing options with discounts are coming soon. Currently, all plans are billed monthly with no long-term commitment required.

Security & Privacy

How we protect your data

Does Project PDF store my Asana data?
No. We fetch your data from Asana only when you generate a PDF, create the document, and immediately discard the source data. We only store the resulting PDF file (for your retention period) and your template settings. We never store your tasks, projects, or time entries.
How does authentication work?
We use Asana's official OAuth 2.0 authentication. When you connect your account, you're redirected to Asana to grant permission. We never see or store your Asana password. You can revoke access at any time from your Asana account settings.
What permissions does Project PDF request?
We request read-only access to your workspaces, projects, tasks, and (if applicable) time tracking data. We cannot modify anything in your Asana account—only read the data needed to generate your PDFs.
Are my PDFs secure?
Generated PDFs are stored securely and accessible via unique URLs. While these URLs are technically public (so you can share them without recipients needing accounts), they use long random identifiers that are practically impossible to guess.
Is the connection encrypted?
Yes. All connections to Project PDF use TLS encryption (HTTPS). Data transfers between our servers and Asana's API are also encrypted.

Working with different Asana setups

What Asana plans work with Project PDF?
Task list exports work with any Asana plan (Basic, Premium, Business, Enterprise). Time tracking reports require Asana Business or Enterprise since that's where time tracking data is available in Asana.
Does it work with Asana organizations and workspaces?
Yes. Project PDF works with both personal workspaces and organization accounts. When you connect, you'll see all workspaces and organizations you have access to in Asana.
Can guests or limited-access users use Project PDF?
You need to be a full member of a workspace (not a guest) to connect that workspace to Project PDF. Guest users have limited API access that doesn't support our export functionality.
Does Project PDF work with Asana custom fields?
Yes! Custom fields are fully supported in task list exports. Text, number, dropdown, date, and people custom fields all appear in your PDFs.
